Replacing Spreadsheets at Your Maktab or Madrasa
Almost every maktab and madrasa starts on a spreadsheet. It is free, everyone knows how to use one, and for a small program it works. The trouble starts quietly, usually in the second or third year.
Signs your spreadsheet has reached its limit
- More than one “master” copy. The principal has one version, the treasurer has another, and nobody is sure which is current.
- Attendance lives on paper. Sheets are collected, sometimes typed in, sometimes lost.
- Report cards take a weekend. Someone copies grades by hand from one file into another for every student.
- Teachers cannot see their own class list without asking the office.
- A volunteer leaves and takes the knowledge with them. Only one person understood how the file worked.
What to move first
You do not need to move everything at once. This order causes the least disruption:
- Students and classes. Get one clean list of who is enrolled and which class they are in.
- Teachers. Give each teacher access to their own classes.
- Attendance. Start taking it in the new system from a clear date, such as the start of a term.
- Grades and report cards. Move these at the start of a marking period so you never split a term across two systems.
Clean your list before you move it
Spend an hour on your existing spreadsheet first. Remove students who have left, fix duplicate families, make sure every child has a date of birth and at least one working parent phone number, and use the same class names throughout. Whatever you move in is what you will live with.
Bring teachers along
A new system only helps if teachers use it. Show them the one or two things they will do each week, which is usually attendance and entering grades, and nothing else at first. Pick a start date, tell parents, and stop accepting paper from that day.
What you gain
One list everyone trusts, attendance the office can see the same day, report cards produced from grades already entered, and a school that keeps running when a volunteer moves on.
Taleem was built for exactly this move. It organizes students, classes, attendance, grades, and report cards for maktabs and weekend schools and for madrasas with Hifz and Alim/Aalima programs. The software is free for your first year, and if you would rather have our team set everything up for you, that is what the Software + Support plan is for.
